Terms of Service
Last updated: 28 August 2026
These terms govern your use of Allow, provided by [Registered company name](“we”, “us”). By creating an account or using the service you accept them. If you are accepting on behalf of an organisation, you confirm you are authorised to do so.
1. What Allow is
Allow is a platform for recording, assessing and governing the AI systems an organisation uses. It helps you keep an inventory, assign accountability, and produce evidence that governance happened.
Allow is not a substitute for legal, regulatory or compliance advice. It does not certify that your organisation complies with any law, standard or framework, and no output from it should be relied on as such.
2. Accounts
- You need an account, and the details on it must be accurate. You are responsible for what happens under it.
- Keep your credentials to yourself. Tell us promptly if you think they are compromised.
- Accounts belong to people, not roles. Do not share one between colleagues — an audit trail that cannot identify a person is not an audit trail.
- An organisation’s owner and admins can invite members, change roles and deactivate access. If you join through an invitation, that organisation controls your access to it.
3. Acceptable use
You agree not to:
- Use Allow unlawfully, or to store data you have no right to hold.
- Try to reach another organisation’s data, probe for vulnerabilities, or circumvent access controls or usage limits.
- Interfere with the service, or use it in a way that degrades it for others.
- Resell or white-label Allow without a written agreement with us.
- Upload malware, or personal data you have no lawful basis to process — including special category data, which Allow is not designed to hold.
We may suspend an account that breaches this section. Where the circumstances allow, we will warn you first.
4. Your data
What you put into Allow stays yours. We do not claim ownership of it, we do not use it to train models, and we do not sell it. We process it to run the service, as described in our Privacy Policy.
You are responsible for having a lawful basis for the personal data you record — particularly the names and email addresses of people your colleagues designate as owners of AI systems, who may not be Allow users and may not know they have been recorded.
You can export or delete your data at any time. Deletion behaves as described in the Privacy Policy: workspaces and accounts are recoverable for 30 days, then permanently erased.
5. What the service does and does not find
This section matters more than its length suggests. Allow reports what has been recorded in it, from the sources it has been connected to.
- An empty result is not proof of absence. If Allow shows no AI systems in a business area, that means none have been recorded there — not that none exist.
- Records added by hand or imported from a spreadsheet are only as accurate as what was entered. Allow marks how each record arrived and whether a person has confirmed it, and you should read both.
- Where Allow infers or suggests something, it says so and shows why. Inferences are starting points for a human decision, not findings.
- Coverage depends on what you connect and what those sources expose. We do not promise completeness, and you should not represent Allow’s output as a complete inventory unless you have satisfied yourself that it is.
6. Plans, trials and payment
- New organisations start on a trial. When it ends, access continues on the free tier unless you choose a paid plan.
- Paid plans are billed in advance through our payment provider, monthly or annually as chosen. Fees exclude tax unless stated.
- Your plan determines which features and connectors are available, and how long history is retained. Changing plan changes those from the point of change.
- You can cancel at any time. Access continues to the end of the paid period. We do not refund part-periods except where the law requires it.
- A plan never hides a finding your own data produced. Packaging limits which sources you can connect and how often they refresh — never what you are told about what those sources found.
7. Availability
We work to keep Allow available but do not guarantee uninterrupted service. Maintenance, third-party failures and faults happen. Unless we have signed a separate agreement with you, Allow is provided without a service level commitment.
8. Our intellectual property
Allow, its software, design and documentation remain ours. Using the service grants you a limited, non-exclusive, non-transferable right to use it while these terms are in force. Nothing here transfers ownership of anything.
9. Warranties and liability
Allow is provided “as is”. To the extent the law permits, we exclude implied warranties of merchantability, fitness for a particular purpose and non-infringement.
To the extent the law permits, we are not liable for indirect or consequential loss, loss of profit, loss of data, or regulatory penalties arising from your use of Allow. Our total liability in any twelve-month period is limited to the fees you paid us in that period.
Nothing in these terms excludes liability for death or personal injury caused by negligence, for fraud, or for anything else that cannot lawfully be excluded.
10. Ending it
- You can close your account at any time from your account settings.
- We may suspend or end access if you breach these terms, or if we are required to. Where the circumstances allow, we will give notice and a chance to put it right.
- After termination we keep your data for 30 days so you can retrieve or restore it, then erase it permanently.
11. Changes
We may update these terms. The date at the top changes when we do, and material changes are emailed to account owners before they take effect. Continuing to use Allow afterwards means you accept them; if you do not, you can close your account.
12. Law
These terms are governed by the laws of [England and Wales], and its courts have exclusive jurisdiction over any dispute.
